JOB SUMMARY:

The Family Service Coordinator plays a vital role in supporting families of young children with developmental delays or disabilities. This position serves as a liaison between families, educators, and service providers, ensuring children receive appropriate support and services while helping families navigate early intervention systems and access community resources. Additionally, this role serves as the center receptionist, supporting the daily front-office operations and creating a warm, professional first point of contact for all visitors.

EDUCATION AND CERTIFICATIONS: 

A High School diploma or equivalent is required.  

An Associate's degree in Social Work, Early Childhood Education, Special Education, Human Development, or a related field is preferred.

One year of Family Service Coordination or Administrative Assistant experience is required.

3 years’ Administrative Assistant experience is preferred. 

Current CPR certification through AHA or ability to obtain within 90 days of hire.
 
ESSENTIAL DUTIES:

Family Support & Service Coordination:

Serve as the primary point of contact for assigned families, providing ongoing support and communication.
Coordinate and attend multidisciplinary team meetings, including IFSP (Individualized Family Service Plan) meetings.

Assist families in understanding developmental assessments, service plans, and available resources.
Ensure timely and appropriate referrals to services such as speech, occupational, and physical therapy.
Maintain accurate documentation and records in accordance with state and agency requirements.
Support the transition process when children age out of early intervention (at 3 years old), including connections to school-based services and attend Individualized Education Program meetings to effectively transition student
Educate families about their rights, early childhood development, and community support.
Assists in monitoring office supplies and equipment, fills out requisitions, and orders supplies. 

Assists in maintaining and updating program files and folders.

Reception & Administrative Support:

Greet families, visitors, and professionals warmly and professionally at the front desk.
Answer phone calls and direct inquiries to appropriate staff members.

Arrange classroom and bus coverage for absent staff members. 

Manage daily sign-in/sign-out procedures for children and visitors.
Assist with the County Child Find programs by scheduling and processing screenings.

Maintain the front office area, including organizing files, forms, and basic supplies.
Provide basic administrative support such as copying, scanning, and managing correspondence.
Help ensure a safe and welcoming environment for all who enter the center.
Coordinate maintenance of office equipment.

QUALIFICATIONS:

Experience working with families of young children, preferably those with developmental delays or disabilities.
Knowledge of early intervention systems, IDEA Part C, and child development (birth–3 years).
Excellent interpersonal, communication, and customer service skills.
Comfortable managing both administrative/reception duties and family case coordination.
Proficient in Google Suite (Gmail, Calendar, Sheets); experience with data entry or case management systems preferred.
 

REQUIRED SKILLS, KNOWLEDGE AND ABILITIES:  

SKILLS are required to perform multiple, technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including pertinent software applications and  keyboarding; preparing and maintaining accurate records; planning and managing projects; organizing, prioritizing, demonstrating work initiative and professionalism.
 
KNOWLEDGE based competencies required to satisfactorily perform the functions of the job include: general office procedures; services and activities of a preschool; business telephone etiquette; common office machines; understand written procedures, write routine documents, and speak clearly; and understand complex, multi-step written and oral instructions, understand stages of child development; pertinent laws, policies, and procedures.

ABILITY is required to schedule a significant number of activities, meetings, and/or events; often gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; analyze data utilizing a variety of complex processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups. Independent problem solving is required to analyze issues and create action plans. Problem solving with data requires analysis based on organizational objectives; and problem solving with equipment is limited. The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, 15% standing. This job is performed in a generally clean and healthy environment.
